How we handle personal data across the AI Employee website and platform under Greek and EU law.

1. Overview
This Privacy Policy explains how AI Employee collects, uses, discloses, and protects personal data when you visit our website, create an account, use the dashboard, launch AI-assisted development environments, or interact with related services.
The relevant legal framework includes Regulation (EU) 2016/679, the General Data Protection Regulation (GDPR), Greek Law 4624/2019, and Greek Law 3471/2006 for privacy in electronic communications, including cookies and similar technologies.
This policy applies to AI Employee as the platform provider. When an organization gives you access to AI Employee, that organization may also control how your account, projects, workspaces, prompts, files, and usage data are handled.
2. Controller and contact
For the purposes of this policy, TRYROSO SINGLE MEMBER PRIVATE COMPANY is the controller for personal data processed for account administration, website operation, billing, security, support, and platform management, unless a separate agreement states otherwise. AI Employee is the service brand operated by this company.
For project, workspace, employee, customer, or third-party data that your organization submits to the platform, your organization may be the controller and TRYROSO SINGLE MEMBER PRIVATE COMPANY may act as processor. Privacy requests can be sent to info@ai-employee.cloud.

3. Information we collect
- Account information, such as name, email address, organization, role, authentication provider, and account status.
- Workspace and project information, such as project names, descriptions, files, source code, prompts, AI outputs, configuration files, skill settings, agent settings, and deployment metadata.
- Usage information, such as sessions, actions, tool calls, container status, logs, feature usage, token usage, cost estimates, device information, browser type, IP address, and timestamps.
- Billing and subscription information, such as selected plan, billing status, invoice metadata, coupon redemption data, and payment processor identifiers.
- Communications, such as support requests, sales inquiries, administrative messages, and feedback.
- Cookies and local storage data used for authentication, preferences, workspace state, security, and analytics where enabled.
4. How we use information
- Provide, maintain, secure, and improve the platform.
- Create and manage accounts, authentication, workspaces, sessions, projects, groups, roles, and permissions.
- Process prompts, files, and project data through AI models, tools, skills, containers, and connected services that you or your organization enable.
- Monitor reliability, debug errors, prevent abuse, enforce limits, and protect the platform and users.
- Handle billing, subscriptions, support, notices, and operational communications.
- Understand product usage and improve user experience, documentation, security, and performance.
- Comply with legal obligations and enforce our terms.
5. Legal bases
We process personal data only where there is a legal basis under the GDPR. Depending on the context, this may include performance of a contract, compliance with legal obligations, legitimate interests such as securing and improving the platform, consent for optional cookies or marketing communications, and the establishment, exercise, or defence of legal claims.
Where we rely on consent, you may withdraw consent at any time. Withdrawal does not affect processing that happened before withdrawal.
6. AI processing
AI Employee is designed to process prompts, files, project context, and tool results to help generate software, documents, analysis, and related outputs. Depending on the features enabled by you or your organization, this data may be sent to AI model providers or other integrated services for processing.
Do not submit personal information, confidential information, credentials, regulated data, or third-party material unless you have the right to do so and your organization has approved that use.
7. How we share information
We share information with service providers and subprocessors that help operate AI Employee, such as cloud infrastructure, hosting, authentication, AI model, payment, analytics, logging, email, and support providers. These providers are authorized to process information for the purposes of providing services to us.
We may share information with your organization administrators, when required by law, to protect rights and security, in connection with a business transaction, or with your direction or consent.
8. Retention
We retain information for as long as needed to provide the service, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and protect the platform. Retention periods may vary based on account status, organization settings, project activity, backup cycles, legal requirements, and security needs.
Your organization may be able to delete projects, files, sessions, or account data from the platform. Some records may remain in backups, logs, billing records, or audit trails for a limited period.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. No system is completely secure, and we cannot guarantee absolute security.
You are responsible for protecting your credentials, configuring access controls appropriately, reviewing integrations, and avoiding unnecessary submission of sensitive information.
10. Your choices and rights
Under the GDPR and Greek data protection law, you may have rights to access, rectify, erase, restrict, object to processing of, or receive a portable copy of personal data. You may also have the right to withdraw consent where processing is based on consent.
To make a privacy request, contact info@ai-employee.cloud. If your account is managed by an organization, we may direct your request to that organization or ask you to contact your administrator.
You also have the right to lodge a complaint with the Hellenic Data Protection Authority, the Greek supervisory authority for data protection matters.
11. Cookies and electronic communications
Cookies and similar technologies are handled under Greek Law 3471/2006 and the GDPR where personal data is involved. Strictly necessary cookies and storage may be used to provide a service you request, such as signing in or launching a workspace. Optional analytics, marketing, or similar technologies should be used only where the required consent or other lawful basis exists.
12. International transfers
AI Employee and its service providers may process information in countries other than Greece or the European Economic Area. Where required, transfers are handled using adequacy decisions, standard contractual clauses, or other lawful transfer mechanisms under the GDPR.
13. Children
AI Employee is intended for business users and is not directed to children. We do not knowingly collect personal information from children.
14. Changes to this policy
We may update this Privacy Policy as the platform, legal requirements, or business practices change. The updated version will be posted with a new last updated date.
